View Cases screen

This topic provides an overview of the View Cases screen and all the settings and buttons on it. However if you require a step-by-step procedure on locating your case refer to Searching for a case.

The View Cases screen lists all the cases that have been set up using OSS-ESPA and which you have permission to view. From this screen you can find and open the case you want to work with. The settings and the filters on the table columns allow you to filter which cases are displayed making it easier for you to locate the case you want to work with. By default it displays all the cases that you either created or are assigned to. This screen also allows you to search for a phone or vehicle number to determine if it is in any other cases.

NOTE: Depending on how your administrator has configured your OSS-ESPA you may only be able to view a case if you are the case creator, a case assignee or an administrator.

This displays the five cases you most recently worked on. Click a case name if you want to view a recent case.

Use to search for a word contained in the case name or file number of the cases that are currently displayed based on the filters you have selected.

Select if you want to search for phone numbers and license plates in the CDR and geo-location files of all cases. You must enter the phone numbers and license plates in Search cases as a comma separated list. If it finds a result then the case is displayed on the screen allowing you to quickly view the case containing the file.

If you search for:

  • phone numbers, and the phone number appears in a CDR or geo-location file of any case then it displays the result.
  • license plates, and if the license plate appears in a geo-location file of any case then it displays the result.

All the results displayed are from the case files therefore no results are displayed if the phone number or license plate appears in another case without the corresponding CDR or geo-location file.

If a case:

  • has been deleted and OSS-ESPA has not yet removed the files from the system then any files that were uploaded to it are searched and if any results are found they are displayed. If a file is a deleted file then it is displayed as "Deleted" in the Case status column. Typically cases and their files are permanently deleted after a week but this timing can be changed by administrators.

NOTE: If you find data within another case, you must ensure you have the proper legal authority to utilize the data in conjunction with another investigation.

Use to filter which cases are being displayed or used in the search.

  • My cases displays all cases that you created.
  • Assigned cases displays all the cases that have been assigned to the user selected in Assigned to.
  • All cases displays all the cases in OSS-ESPA irrespective of what is selected in Assigned to.
  • Workflow cases displays all the cases that have been created automatically by OSS-ESPA when it received the case data by email.

Select which cases you want displayed on this screen based on who is assigned to the case.

Click to save all the filters as your defaults so that when you open the View cases screen these filters are already set. This saves any text entered in Search cases and Search for phone numbers and also saves your settings of Case filter and Assigned to.

Click to clear all the filters. This clears any text entered in Search cases and Search for phone numbers and also returns Case filter and Assigned to to their default settings of "My cases" and "(Myself)".

All the cases that meet the criteria you filtered and searched on are listed in the table. You can select which results and how the results are displayed in the table and filter the results further using at the top of each column which expands the column header menu. You can also click the column title to sort the results.

Right-click on any column header to display this menu.

This menu allows you to perform the following:

  • Sort ascending: click to sort the column text from A to Z or to sort numbers from smallest to largest.
  • Sort descending: click to sort the column text from Z to A or to sort numbers from largest to smallest.
  • Clear sorting: click to clear any sorting you have applied using Sort ascending or Sort descending.
  • Group by: click to group the cases by the selected column.
  • Ungroup: click to ungroup the cases by the selected column.

  • Columns: select to display a list of which columns you can display on this table.

  • : use to filter further the results that are displayed in the table. You can filter based on the settings in that column and/or values that occur across the case row. When a filter is applied to a column the column header appears in colored italics.

    • Use the check-boxes if any are displayed for your selected column. These allow you to filter based on all the settings that are applicable to that column. For example, the Status column allows you to filter by the different statuses for example, open and closed.
    • Set up to two values that you can filter for using the drop-downs and the data entry field. For example, you could select "Contains" the value "Florida" to search for cases that contain the word "Florida" in the settings displayed in the table.
    • Click Filter when you have entered the required filter information.
    • Click Clear filter to remove any filter from the column.

Displays the case name. Click it to open the Manage case screen. When a case is first created you either entered a case name or you allowed OSS-ESPA to generate one automatically; it can then be edited if required using the Edit case information screen.

Displays the file number.

Displays the case type. When a case is first created it was mandatory that you selected a case type; it can then be edited as required using the Edit case information screen.

Displays the case status. When a case is first created the status is set to "Open"; it can then be edited as required using the Edit case information screen.

Displays the case priority that was entered on the Edit case information screen.

Displays the date that the case was added to OSS-ESPA.

Displays the request date that was entered on the Edit case information screen.

This setting is automatically completed with the date and time of the earliest data from all the CDRs and geo-location files that you uploaded for the case.

This setting is automatically populated with the date and time of the latest data from all the CDRs and geo-location files that you uploaded for the case.

Displays the name and email address of the person who created the case.

Displays the point of contact that was entered on the Edit case information screen.

Displays who the case is assigned to.

Displays the number of people that are in the case. For further information refer to Managing persons.

Displays the number of phones that are in the case. For further information refer to To create a new person, their phone number and additional person information.

This displays either "Inactive" or "Active" depending on whether or not you have a live location monitoring alert enabled for the case using Alert enabled on the Smart Track alerts & notifications screen.
